New Requirements in the Capital Market Environment
With the IPO, the requirements for transparency, traceability, and formal process stability in committee work fundamentally changed at SCHOTT Pharma. As a leading provider of pharmaceutical primary packaging in the regulated life science environment, the company had to systematically adapt its governance structures to the framework conditions of a publicly listed stock corporation and develop them systematically.
In the course of this transformation, operational responsibility for organizing the supervisory board and audit committee emerged. With growing complexity, however, it became clear that existing processes were functional but not anchored in an integrated system.
The goal was therefore to establish committee work structurally, audit-proof, and scalable in the long term.
Svenja Hennig, Secretary and Management Assistant, and Evelyn Barth-Schneider, Executive Assistant to CEO & Chairman of the Board of Management, are responsible for the organizational implementation of committee work at SCHOTT Pharma and support the further development of governance structures.
"We were looking for a solution that is simpler and takes work off our hands," describes Barth-Schneider the motivation behind the decision.
From Individual Solutions to Integrated System Logic
Before the introduction of Boardwise, committee work was already digitally organized, but distributed across multiple systems.
"We worked with Outlook, email, Excel, Word, and Teams and at some point lost the overall view," describes Hennig the daily work routine before Boardwise.
These parallel structures were functional but not integrated. Transparency, versioning, and status clarity could only be ensured with high coordination effort.
With Boardwise, this fragmentation was resolved. Agenda planning, invitation management, and document structure are now mapped in a central environment while being fully embedded in SCHOTT Pharma's existing Microsoft Teams infrastructure.
Structure as a Management Tool
A central element of the new working method at SCHOTT is the system-supported agenda logic. It forms the organizational core of each meeting and links planning, time structure, and communication in a consistent system environment.
"The fact that we can create the agenda directly in the tool and the time planning calculates automatically makes preparation considerably easier," explains Barth-Schneider.
At the same time, new transparency emerges in the process:
"Now everyone sees the current status. This was not available with the many different systems before," notes Hennig.
Changes are traceable and systemically anchored, which represented a significant step toward consistent and reliable committee organization.
Architecture with Room for Scaling
SCHOTT Pharma understands the introduction of Boardwise not as a point system implementation, but as targeted development of a long-term viable governance infrastructure.
"Our longer-term goal is to map all committee meetings here in-house in Boardwise, so that everything is centrally bundled in one place," explains Svenja Hennig.
Boardwise thus creates a scalable foundation for growing organizational requirements. Committee work remains clearly structured and reliable even with increasing complexity.
Written Resolutions as a Lever for More Efficient Decision Paths
Informal coordination processes should also be increasingly structurally anchored at SCHOTT Pharma.
"The coordination of written resolutions has been cumbersome via email so far," explains Barth-Schneider.
With the introduction of the corresponding function in Boardwise, this process should now be systemically mapped. Approvals, deadlines, and resolutions are captured in a structured way and transparently documented. This creates a consistent workflow that anchors formal decisions traceable and governance-compliant even outside of meetings.
Security and Integration as Foundation
As a publicly listed company, SCHOTT Pharma is subject to particularly high requirements for information security, data protection, and system stability. The technological embedding of a solution in the existing IT landscape is therefore less a comfort factor than a central prerequisite.
Against this background, the close integration of Boardwise into the existing Microsoft environment was a decisive aspect in the selection process.
"Our IT colleagues described the collaboration as very uncomplicated. Through the Microsoft-based integration, all security precautions were met, otherwise we would not have gone live," concludes Barth-Schneider.
From Onboarding to Long-term Support
In addition to the structural quality of the solution, SCHOTT Pharma particularly emphasizes the collaboration with the Boardwise team.
"The collaboration was consistently very professional, friendly, and helpful: starting with the implementation through to support now," summarizes Barth-Schneider the support.
Boardwise is not perceived as a standardized product, but as a solution that is further developed in dialogue and adapted to the specific requirements of the organization. Questions, ideas, and individual requirements were addressed and reviewed – a working method that supports sustainable anchoring in the company.
"No matter what idea we had: It was always checked whether it was feasible," describes Hennig the joint process.
Conclusion: Governance Becomes Infrastructure
With the introduction of Boardwise, SCHOTT Pharma consistently develops its committee work further and creates transparent and traceable decision processes.
The consolidation of previously distributed processes increases the clarity and control capability of the organization.
The implementation thus represents a sustainable development step in line with the requirements of a publicly listed stock corporation.
